Accessing Reference Documents on iPhone

This article explains how to access and review reference documents in the BoardWorks iPhone app. Reference documents provide access to important materials that are not associated with a specific meeting or Board Book.

How do I access Reference Documents?

Reference Documents are available from the Documents section of the BoardWorks iPhone app.

To access Reference Documents:

  1. Tap Documents from the navigation bar at the bottom of the screen.

  2. Select one of the available document sections, such as:

    • Corporate Info

    • Director's Guide

    • General Board

    • Collaboration

    • All Files

  3. Browse the folders available within the selected section.

  4. Tap a folder to view the documents it contains.

Reference Documents are organized into sections and folders to make it easier to locate information.

Note: Available sections, folders, and documents may vary depending on your organization's configuration.

How do I open a Reference Document?

Reference Documents are stored within folders in the Documents section.

To open a document:

  1. Tap Documents.

  2. Select the appropriate section.

  3. Open the folder containing the document.

  4. Tap the document you want to review.

The document opens in the document viewer, where you can review its contents and navigate between pages.

How do I search for a Reference Document?

You can search for documents from within the Documents section of the BoardWorks iPhone app.

To search for a document:

  1. Tap Documents from the navigation bar at the bottom of the screen.

  2. Tap the Search icon in the upper-right corner of the screen.

  3. Enter a document name or keyword in the search field.

  4. Select the document you want to open from the search results.

Matching documents are displayed as you search.

Tip: Search can help you quickly locate documents when you know part of the document name but are unsure which section or folder contains it.

How do I sort Reference Documents?

You can sort folders and documents to make it easier to find the content you need.

To sort Reference Documents:

  1. Open a document section or folder.

  2. Tap Sort By

  3. Select the desired sorting option. (Last Modified, Name or Date)

The contents will automatically update based on the selected sort order.

How do I navigate a Reference Document?

Once a Reference Document is open, you can move through the document using swipe gestures or page thumbnails.

To navigate a Reference Document:

  1. Open a Reference Document.

  2. Swipe left or right to move between pages.

  3. Tap a page thumbnail at the bottom of the screen to jump directly to a specific page.

While viewing a document, you can:

  • Swipe between pages

  • Use page thumbnails for quick navigation

  • Search within the document

  • Access annotation tools

Tip: Page thumbnails provide a quick way to move to a specific section of a document without swiping through every page.

Can I annotate Reference Documents?

Yes. you can add notes and markups directly within the document viewer.

To annotate a Reference Document:

  1. Open the Reference Document.

  2. Tap the Annotation icon.

  3. Select the annotation tool you want to use

  4. Add annotations to the document as needed.

You can use annotations to:

  • Mark important information

  • Add notes and comments

  • Highlight content for future reference

Annotations are automatically saved and synchronized with the BoardWorks server when a network connection is available.

Note: If your device is offline, annotations are saved locally and will automatically synchronize when a connection becomes available.

Can I share annotations on Reference Documents?

Yes. Annotations made on Reference Documents can be shared with other users.

To share annotations:

  1. Open the annotated Reference Document.

  2. Tap the Share icon.

  3. Select the sharing option you want to use. (Private, All Document Recipients, Share with Individuals)

  4. Tap Save

Shared annotations allow others to review your notes and markups on the document.
