Archiving Meetings

Learn how Administrators can archive and unarchive meetings in BoardWorks and understand how archiving affects meeting visibility and access.

Archiving meetings helps keep active meeting lists streamlined while preserving records for historical reference and reporting.

What does archiving a meeting do?

Archiving a meeting:

  • Removes the meeting from Directors’ active meeting views

  • Reduces synchronization activity for the mobile apps

  • Retains full access to all meeting materials for Administrators

Archived meetings and their contents are preserved and can be accessed or restored by Administrators if needed.

When can a meeting be archived?

Meetings are typically archived after they have concluded and are no longer required for regular access.

Note: Only meetings that have been published can be archived.

How do Administrators archive a meeting?

To archive a meeting:

  1. Open the meeting from Meetings & Events.

  2. From within the meeting, locate the Change Status dropdown.

  3. Select Archive from the list.

The meeting status updates immediately.

What happens after a meeting is archived?

Once archived:

  • The meeting no longer appears in Directors’ active meeting lists

  • Administrators retain access to the meeting and all associated documents

  • The meeting continues to appear in Meetings & Events for administrative reference with an Archived status

Unarchiving a meeting

Archived meetings can be restored at any time by an Administrator.

How do Administrators unarchive a meeting?

To unarchive a meeting:

  1. Navigate to Meetings & Events.

  2. Locate the meeting with a status of Archived.

  3. Select the Actions menu and choose Edit.

  4. From the Change Status dropdown, select Unarchive.

A confirmation message is displayed indicating the status change was successful.

Note: Once unarchived, the meeting status returns to Published.
