Working with Meetings on Windows

This section explains how to access meetings, join virtual sessions, and view attendee participation in the BoardWorks Windows app.

How do I open a meeting?

There are two ways to open a meeting in the BoardWorks Windows app:

Option 1: Open the meeting preview

  1. Locate the meeting on the homepage.

  2. Click the meeting title.

  3. This opens the meeting preview and agenda, where you can view meeting details, attendees, and access related materials.

Option 2: Open the Board Book directly

  1. Locate the meeting on the homepage.

  2. Click Open Book.

This opens the Board Book and displays:

  • The meeting agenda

  • The index of documents and agenda items on the left side of the screen

Use the meeting title for details and Open Book when you want to immediately start reviewing documents.

How do I attend a virtual meeting?

If a meeting includes a virtual link, you can join directly from the app.

To join a virtual meeting:

  1. Open the meeting.

  2. From the meeting preview menu at the top of the screen, click URL.

  3. Select the application you want to use, such as Zoom, Teams, WebEx, or a web browser.

If the meeting application is already installed on your device:

  • The application will open automatically and connect you to the meeting

If the application is not installed:

  • You may be prompted to join using your browser or download the application

Tip: Installing the meeting application (Teams, Zoom, WebEx) on your device in advance provides the best experience.

How do I see who is attending a meeting?

You can view attendee responses for a meeting at any time.

To see who is attending:

  1. Open the meeting preview.

  2. Click Attendees from the menu at the top of the screen.

The attendee list shows who has:

  • Accepted

  • Declined

  • Marked as Tentative

Note: By default, attendees appear as Tentative until they update their status.

What you can do next

After opening a meeting, you can:

  • Open the Board Book and review documents

  • Join virtual meetings when available

  • View who is attending

  • Navigate to related materials
