How do I annotate a document?
To add annotations:
Open a document in the Board Book.
Tap the annotation tools menu at the bottom of the screen.
Select one of the available tools:
Draw
Highlight
Note
Tap anywhere on the document and begin annotating.
Once applied, annotations appear directly on the page.
How do I edit an annotation?
To modify an existing annotation:
Tap the annotation on the page.
Select from the available options, such as:
Edit style or type
Delete the annotation
Changes are applied immediately.
Can I remove an annotation?
Yes.
To delete an annotation:
Tap the annotation you wish to remove.
Select Delete.
The annotation will be permanently removed from the document.
Note: If a shared Note annotation is deleted, it will no longer be available to any users it was previously shared with.
How do I save my annotations?
Annotations are automatically saved as you work. However, you can manually save annotations to ensure they are synchronized with the BoardWorks server.
To save your annotations:
Open the document containing your annotations.
Tap Save Annotations to Server.
This action:
Uploads your annotations to the server.
Makes them available on other devices where you access BoardWorks.
Ensures the latest version of your annotations is synchronized.
It is recommended that you save annotations to the server:
Before closing the app.
Before locking your iPad.
Before switching to another device.
Tip: Saving annotations to the server helps ensure your latest notes, highlights, and drawings are available across all supported BoardWorks devices.
What's the difference between Save and Save Annotations to Server?
Save – Saves the annotation you just created or edited.
Save Annotations to Server – Synchronizes all annotations with the BoardWorks server so they are available on your other devices.
What happens to my annotations?
Annotations are associated with the BoardWorks account used to create them.
When using the same BoardWorks account across multiple devices, your annotations are synchronized and remain available wherever you access your meeting materials.
For example, you may review and annotate documents using the BoardWorks iPad app while preparing for a meeting, then later access the same meeting from the BoardWorks Windows, iPhone, or Android apps. Your annotations will automatically appear on those devices.
This allows you to continue working seamlessly across devices without needing to recreate your notes, highlights, or other annotations.
Note: Synchronization occurs only when signing in with the same BoardWorks account.
How do I view all annotations in a document?
Annotations can be viewed directly on the document as you review meeting materials. When working with documents that contain many annotations, the Annotations view provides a convenient way to see all annotations in a single list.
To view all annotations:
Open the document.
Tap the Annotations toggle at the top of the index.
Review the list of annotations displayed for the document.
Annotations are organized by page and include the annotation type, making it easier to locate specific annotations within larger documents.
Navigating to an annotation
To quickly locate an annotation:
Open the Annotations view.
Locate the annotation you wish to review.
Tap the annotation.
BoardWorks will automatically navigate to the annotation and highlight it within the document.
This is particularly useful when reviewing documents that contain multiple notes, drawings, or highlights.
How do I share a note annotation?
Annotations are private by default, but you can share note annotations with others if needed.
To share a note:
Navigate to the page containing your annotation.
Tap Annotations at the top of the index.
Locate your note in the list.
Tap the Share icon next to the note.
Choose one of the following:
Private (default)
Share with all meeting attendees
Share with individuals
Select the appropriate sharing option.
Once shared:
The selected recipients can see the annotation.
Any updates or changes you make will automatically appear on their device.
If you delete the annotation, it is removed from their view as well.
Are my annotations visible to other users?
Annotations are private by default and are only visible to the user who created them.
The exception is Note annotations, which can be shared with other users who have access to the same document.
Depending on your sharing preferences, Note annotations can be:
Private
Shared with all meeting attendees
Shared with specific individuals
Drawings and highlights remain private and cannot be shared.
Note: Users must have access to the same document before they can receive a shared annotation.
