Using the Board Book on iPad

This section explains how to open, view, and navigate the Board Book in the BoardWorks iPad app. The Board Book contains the meeting agenda and all related documents.

How do I open a Board Book?

Meetings and events are displayed as tiles on the homepage. Each tile contains meeting information and provides quick access to the Board Book.

You can open a Board Book in two ways:

Option 1: Open from the homepage

  1. Locate the meeting tile on the homepage.

  2. Tap Open Book.

Option 2: Open from the meeting preview

  1. Tap the meeting tile to open the meeting preview.

  2. Tap Board Book.

This opens the Board Book and displays the agenda and associated documents.

How do I navigate the Board Book?

There are four ways to navigate through the Board Book:

Option 1: Use the Agenda tab

The Agenda tab is displayed on the left side of the screen.

  1. Tap any agenda item or document to open it.

  2. Use the agenda structure to move between sections of the Board Book.

This allows you to quickly jump between agenda items and supporting documents.

Option 2: Swipe between pages

You can move through the Board Book like a physical book:

  • Swipe left to move forward.

  • Swipe right to move backward.

This allows you to move between pages and documents seamlessly.

Option 3: Use page navigation controls

Page navigation controls are displayed at the bottom-right of the screen.

  1. Tap the right arrow to move forward.

  2. Tap the left arrow to move backward.

  3. Use the page indicator to see your current page number.

This provides another way to move through the Board Book without swiping.

Option 4: Jump directly to a page

If you know the page number you want to view, you can jump directly to it.

  1. Tap the page number field at the bottom-right of the screen.

  2. Enter the desired page number.

  3. Tap Go or press Return.

BoardWorks will navigate directly to that page within the Board Book.

This is particularly useful when working with large Board Books or when referencing a specific page during a meeting.

How do I search within a document?

You can search for specific words or phrases within the currently open document.

  1. Open a document in the Board Book.

  2. Tap the Search icon at the top right of the document.

  3. Enter the word or phrase you want to find.

  4. Review the search results and navigate between matches.

Searching can help you quickly locate information within larger documents.

How do I zoom in or out?

You can adjust the zoom level to make documents easier to read.

To zoom in or out:

  • Pinch outward with two fingers to zoom in.

  • Pinch inward with two fingers to zoom out.

Adjust the zoom level as needed while reviewing content.

How do I access annotation tools?

You can annotate documents directly from the Board Book.

To access annotation tools:

  1. Open a document in the Board Book.

  2. Tap the Annotation icon at the bottom of the screen.

  3. Select one of the available annotation tools:

    • Draw

    • Highlight

    • Notes

How do I print a document?

Depending on your organization's configuration and licensing, documents can be printed directly from the Board Book.

To print a document:

  1. Open the document.

  2. Tap the More Options (...) button at the bottom of the screen.

  3. Select Print.

  4. Enter the Document Printing License Key (if required).

  5. Review the printer settings.

  6. Tap Print.

Note: Printing functionality requires the BoardWorks Document Printing feature. If prompted, contact your Administrator to obtain a Document Printing License Key.

How do I open a document in another application?

The Open In option allows supported documents to be opened in another application installed on your iPad.

To open a document in another application:

  1. Open the document.

  2. Tap the More Options (...) button at the bottom of the screen.

  3. Select Open In.

  4. Enter the Document Integration License Key (if required).

  5. Choose the application you would like to use.

The document will open in the selected application.

Note: Open In functionality requires the BoardWorks Document Integration feature. If prompted, contact your Administrator to obtain a Document Integration License Key.

How do I email a document?

Depending on your organization's configuration and licensing, documents can be emailed directly from the Board Book.

To email a document:

  1. Open the document.

  2. Tap the More Options (...) button at the bottom of the screen.

  3. Select Email.

  4. Enter the Document Integration License Key (if required).

  5. Complete the email details.

  6. Send the email.

Note: Email functionality requires the BoardWorks Document Integration feature. If prompted, contact your Administrator to obtain a Document Integration License Key.

What information is available in the Board Book?

The Board Book provides access to:

  • The meeting agenda

  • Agenda items

  • Meeting documents

  • Related meeting content

  • Your annotations

The Agenda tab allows you to quickly move between agenda items and documents, while the Annotations tab provides a consolidated view of annotations within the Board Book.

What is the Annotations tab?

The Annotations tab provides a consolidated view of all annotations within the current Board Book.

To view annotations:

  1. Open the Board Book.

  2. Select the Annotations tab.

  3. Review the list of annotations displayed.

Tap an annotation to navigate directly to its location within the document.

This is particularly useful when reviewing documents that contain multiple notes, drawings, or highlights.

What you can do next

While using the Board Book, you can:

  • Review meeting materials

  • Navigate between agenda items and documents

  • Search document content

  • View your annotations

  • Add annotations to documents (covered in the next section)

  • Access Reference Documents

  • Complete assigned tasks
