Viewing Meetings and Events

This section explains how you can view and download your meeting materials and board books in BoardWorks using a web browser.

How do I find my meetings and events?

To view your meetings and events, select Meetings & Events from the main navigation menu on the left side of the screen.

The Meetings & Events page displays a list of all upcoming and past meetings and events for the board that is currently selected.

Each meeting entry includes:

  • Title

  • Type

  • Date and time

  • Committee

  • Status

  • An Actions menu

How do I change between list view and calendar view?

Meetings and events can be displayed in either List view or Calendar view.

By default, meetings open in List view.

To switch to Calendar view:

  1. Locate the List / Calendar toggle near the top of the Meetings & Events page.

  2. Select Calendar.

The page updates immediately to display meetings in a calendar layout.

To return to the list of meetings, select List using the same toggle.

How do I navigate the calendar view?

When viewing meetings in Calendar view, you can:

  • Choose between 1 Month or 4 Months to adjust the calendar range

  • Use the previous and next arrows to move between months

  • Select Go To to jump directly to a specific date

  • Select Today to return to the current date

Meetings appear on the calendar according to their scheduled date and time. Selecting a meeting on the calendar opens the meeting details.

How do I open a meeting?

To open a meeting:

  1. Locate the meeting in List view or Calendar view.

  2. Select the meeting title.

Selecting the meeting opens the meeting agenda and provides access to the Board Book and related documents.

What actions are available for a meeting?

Each meeting includes an Actions menu on the top right. Depending on the meeting, available actions may include:

  • Add to calendar, which downloads a calendar file you can add to your personal calendar

  • Download Board Book, which downloads all meeting documents in a single file

  • Access discussions, when discussions are available for the meeting

The actions available depend on the specific meeting.

What you can do next

After opening a meeting, you can:

  • Review the meeting agenda

  • Access and download the Board Book

  • Open individual documents attached to agenda items

  • View discussions related to the meeting, if available

How do I download the Board Book?

This section explains how you can view or download meeting documents in BoardWorks using a web browser.

Depending on your needs, you can:

  • Open individual documents for online viewing

  • Download the entire Board Book

  • Download only selected documents

How do I view a document online?

When you select a document name within a meeting:

  • The document opens in a separate browser tab using the web viewer

  • The document is not downloaded automatically

  • You can review the document without saving it to your computer

This option is best for quickly reviewing documents directly in BoardWorks.

How do I download the entire Board Book?

To download all meeting documents in one file:

  1. Open the meeting from the Meetings & Events page.

  2. Select Download Board Book.

The Board Book downloads as a single file containing all documents for the meeting. Use this option when you want a complete offline copy of all meeting materials.

This option is useful when you want an offline copy of all materials for the meeting.

How do I download selected documents only?

If you need only certain documents:

  1. Open the meeting.

  2. Select the checkbox next to each document you want to download.

  3. Select Download Selected.

Only the selected documents are downloaded.

What happens after I download?

After selecting Download Board Book or Download Selected:

  • The download starts automatically

  • You can open or save the file on your computer for offline review

Downloaded files can be accessed later without logging in to BoardWorks.

What you can do next

After viewing or downloading documents, you can:

  • Continue reviewing other meeting materials

  • Open additional meetings and documents

  • Return to the Dashboard to access other areas

Once you have accessed or downloaded your documents in BoardWorks, you are ready to begin reviewing materials and preparing for your upcoming meeting.
